Configure private sessions and instructor availability
Show a private-session entry point and define when each instructor can accept requests.

Open Classes → Private Sessions
Private-session operations and public configuration now live together in this dedicated Classes sidebar view.

Configure the Settings tab
Enable the public Private tab, set timing rules and optionally enter the room used for private sessions. With a room, only that room is reserved; without one, the selected studio location is reserved as a whole.

Configure the Availability tab
Select each instructor who accepts private sessions and set the preparation buffer before and after an appointment.

Set weekly time slots
Enable the weekdays on which the instructor accepts requests. Add one or more separate start and end times per day in the studio's local timezone.

Add blocked periods
Add holidays, illness, training, or other time off as blocked periods. Existing scheduled classes are considered as conflicts when a private-session time is confirmed later.

Request a free slot
Clients choose the location, date and a free slot. The booking client remains the responsible payer and can add up to 19 named companions with an optional email address; companions are not turned into client accounts.

Approve a single date or series
In Requests, choose Once, Weekly or Every 2 weeks and up to 24 appointments. Enter the price per appointment. StudioPlan checks every date against instructor, room and class conflicts; the series is approved only when every date is free.

Reserve, invoice and confirm the series
Approval immediately creates a private calendar class and Pending booking for the paying client for every appointment. Named companions are linked to each appointment without creating client accounts. The class blocks the instructor and room and is marked Payment pending. Stripe receives one invoice with quantity, unit price and total. After payment, StudioPlan changes those same bookings to Confirmed and Paid and emails all confirmed dates. If the payment deadline expires, or Stripe cancels or marks the unpaid invoice uncollectible, the provisional classes and bookings are cancelled and the slots are released.
Tips
- Use buffers for room reset, travel, documentation, or preparation time.
- Only instructors with Accepts private sessions enabled are shown publicly.
- Turning off the storefront option hides the Private tab without deleting instructor schedules or blocked periods.
- Weekly series preserve the studio-local appointment time across daylight saving changes.
