If you run a yoga, pilates or fitness studio on Eversports and want to switch, the biggest worry is rarely the new software. It is your data: hundreds of clients, running memberships, half-used class passes, future bookings and years of invoices. With StudioPlan you do not retype any of it. You export a few files from Eversports, and a guided page imports everything in three phases: Import, Check, Notify clients.
What moves from Eversports to StudioPlan
- Clients with contact details and language
- Memberships, including paused ones
- Class passes and single sessions with their remaining balance
- Classes and bookings, with past attendance
- Gift vouchers with code and remaining value
- Invoice history, shown on your Payments page
Before you start: the seven Eversports exports
In Eversports you export seven files: client info, all memberships, paused memberships, all invoices with payments, activities, active bookings and the voucher overview. The step-by-step guide in the Help Center names the exact files and filters, so there is nothing to guess.
Phase 1: Import your Eversports data
Open Studio → Migration and drop all seven files in at once. Six steps follow: clients, memberships, class passes and single sessions, classes and bookings, gift vouchers and invoice history.
Every step starts with a check that only shows what it would do. Nothing is written until you type your studio’s name to confirm. Imported clients have no password yet, memberships are not billed, past classes are marked as finished, and nobody is notified or charged. Run a step twice and nothing is duplicated.
Phase 2: Check the numbers
StudioPlan lists what is in your studio now: clients, memberships, classes, bookings, vouchers, invoices and payments. Next to it you see a short list of things to look at by hand, for example clients without an email address or class pass balances that had to be estimated. Compare the figures with Eversports before you tell anyone.
Phase 3: Invite your clients
Your clients receive an email with a link to choose their password and to book in your new studio. Send it to five people first, then to everyone. Clients who already have a login are skipped, so nobody gets the email twice. The email comes from your studio, and replies go to your studio’s email address.
What happens to your old invoices?
Imported invoices keep their Eversports number with the prefix EV-. They appear on the Payments page marked as imported and count towards your revenue. They never count towards your payout balance, so your real payouts stay correct.
Go-live checklist
- Compare the Check phase figures with Eversports
- Switch off renewals and online booking in Eversports at the same moment you switch on booking in StudioPlan, so nobody is charged twice
- Send the invitations in steps: five, then fifty, then everyone
- Share your new booking link with your clients
