Configure late-cancellation and no-show rules
Record attendance exceptions consistently and control their credit or fee consequences.
Before you start
- Permission to manage studio settings
- Permission to manage participant attendance
- 1
Enable attendance status management
Open Studio → Business Settings → Late cancellations & no-shows. Enable attendance status management, then independently allow Late cancellation and No-show actions. The feature is off by default.
- 2
Set each consequence
Configure late cancellations and no-shows separately. For a membership or block card, StudioPlan keeps the credit already used by the booking and never deducts a second credit. For an unlimited membership, set the CHF fee that should create an internal fee draft.
- 3
Add class-type exceptions if needed
Under Class type overrides, leave a type on the studio default or enable custom rules when that class type needs a different fee or no consequence. Keep the studio default whenever possible so policies remain easy to maintain.
- 4
Record the outcome
Open a class from Dashboard, Classes, or Calendar and use the participant actions to mark Present, Regular cancellation, Late cancellation, or No-show. Late/no-show actions appear only when enabled and permitted.
- 5
Use waivers carefully
When granting an exception, choose the waiver/override option and enter the required reason. The team member, time, previous outcome, consequence, and reason are retained in the audit history.
- 6
Review the result
The participant view and client account show the outcome. Any unlimited-membership fee appears as a draft under Payments → Receivables. Repeating the action does not apply the consequence twice; ambiguous older bookings are flagged for manual review.
Tips
- Make the cancellation deadline and possible consequences clear in your booking terms before enabling fees.
- Changing a rule affects future recorded outcomes; review existing fee drafts separately in Receivables.
