Manage receivables and send invoices
Turn late-cancellation and no-show fee drafts into auditable Stripe invoices and track payment status.

Open the Receivables inbox
Go to Payments → Receivables. Open shows fee drafts and invoice drafts that still need action; Completed contains sent, paid, cancelled, uncollectible, and waived cases. Search by client, email, class, or invoice.

Create or bundle an invoice
Create an invoice from one fee draft, or select multiple drafts for the same client and currency and choose Bundled invoice. Each source remains a separate invoice item and the operation cannot create the same charge twice.

Edit the draft
Before sending, edit item descriptions, quantities, unit prices, invoice notes, and a percentage or fixed discount. Add manual items when needed. A reason is required for price changes so the adjustment remains auditable.

Waive a fee when appropriate
If no invoice should be issued, choose Waive and enter the required reason. The case moves to Completed with the person and time recorded; waiving closes the draft without charging the client.

Send through Stripe
Choose Send invoice. The client receives Stripe's hosted payment page. StudioPlan stores the provider reference, hosted invoice link, and invoice PDF when available.

Configure payment reminders
Choose Reminders in the Receivables toolbar. Enable automatic reminders and add stages before or after the due date, for example 3 days before and 1, 7, and 14 days after.

Send or review reminders
Use Send reminder on an open invoice, or select several open invoices and send reminders in one action. Open History on an invoice to see every automatic and manual send with time, recipient, and delivery status. Automatic stages are never sent twice, and temporary failures are retried up to three times.

Track and download
Stripe webhooks synchronize Draft, Open, Overdue, Paid, Cancelled, and Uncollectible statuses. Open the hosted invoice or download its PDF from Receivables; the invoice and PDF are also available from the client context where provided.
Tips
- Only bundle drafts for the same client and currency; StudioPlan enforces this before creating the invoice.
- The reminder email includes the Stripe payment link. Invoice and payment status still come from Stripe.
- Clients who disable email notifications are skipped, and paid, cancelled, or uncollectible invoices receive no further reminders.
