Course-cycle billing and payment status (Beta)
Understand how remaining sessions become a one-off invoice, how QR bill, card and TWINT payments are tracked, and which corrections remain manual.

How the amount is calculated
StudioPlan counts the scheduled sessions on or after the client’s entry date and multiplies them by the cycle’s price per session. A client joining after four of twelve sessions is therefore enrolled into and charged for the remaining eight sessions only.

What is created at enrollment
The fixed place and all remaining session bookings are created together. If an amount is due, StudioPlan also creates one course-cycle invoice with a line item showing the number of remaining sessions, the unit price and the total. It is a one-off receivable, never an automatically renewing subscription.

QR-invoice flow
When the client chooses QR invoice, StudioPlan opens the invoice, assigns a Swiss QR reference, generates the PDF and sends it by email when email delivery is allowed. The client can also download the PDF. There is no card-processing fee, but StudioPlan does not read the studio bank account: after the transfer arrives, open Payments → Receivables and mark the QR invoice as paid.

Card and TWINT flow
Card and TWINT open a Stripe Checkout session on the studio’s connected Stripe account. After Stripe confirms payment through the webhook, StudioPlan records the payment and automatically changes the invoice from open to paid. TWINT is shown only when the studio has activated it in Stripe and in StudioPlan payment settings.

Track open, paid and overdue invoices
Open Payments → Receivables to review the client, amount, due date and current status. QR invoices can be resent or reminded and manually marked paid. Stripe payments update automatically after confirmation. The audit history keeps the important status changes.

Withdrawals, cancelled sessions and corrections
Withdrawing a member releases future cycle bookings, but the Beta does not yet calculate or issue an automatic partial credit note or refund. A cancelled session also requires an administrative review. Check the remaining value, then handle the correction or Stripe refund in the existing payment workflow and document the reason.

Installments during Beta
The current Beta supports one full payment for the calculated remaining cycle amount. It does not yet generate an installment schedule. If a studio agrees installments, track them administratively outside the automatic cycle checkout until installment plans are added.
Tips
- Use QR invoices when avoiding card fees matters and the studio can reconcile incoming bank transfers.
- Use card or TWINT when automatic payment confirmation is more important than processing fees.
- Verify the invoice and refund manually before ending an enrollment that has already been paid.
