Instructor salary management

Calculate fair trainer pay from attendance, apply tiered or fixed rules, correct with an audit trail, and close each month with a traceable CSV or PDF report.

Before you start

  • Professional or Enterprise plan with team management
  • compensation.view permission (owners and admins have it by default)
  • compensation.manage to edit rules, close months, or adjust amounts
  • Classes completed with attendance recorded

    Open Team → Salaries

    In the main menu open Team, then select the Salaries tab. Only people with salary view access see this tab. Owners and admins have it by default; instructors and front desk do not unless you grant it under Team → Permissions.

    Enable salary management

    Turn on Salary management for your studio. Until it is on, completed classes do not create salary calculations. You can switch it off again later without deleting existing history.

    Choose what counts as attendance

    Decide whether late cancellations and/or no-shows count toward pay. The report always shows present, late cancel, no-show, and counted totals separately so every amount stays explainable.

    Create a default or scoped rule

    Add a rule for the whole studio, a specific instructor, or a class type. Choose Fixed per class or Tiered by participant count. For tiers, set amount bands (for example 0–2, 3–4, 5–7, 8+) and optional bonuses above a participant threshold. Saving creates a new version — past classes keep the rule that applied when they finished.

    Let completed classes calculate automatically

    When a class is completed, StudioPlan snapshots attendance, applies the matching rule version, and stores the calculated amount. If attendance changes later, the amount is recalculated with a full history of previous values.

    Correct an amount when needed

    Open a completed class row and adjust the amount with a clear reason. Corrections are audited and appear separately in the monthly report so payroll and accounting can see what changed.

    Run the monthly report and close the period

    Pick a month, optionally filter by trainer or location, then export CSV or PDF. Totals stay traceable to class, attendance, rule version, and corrections. When the month is final, Close month locks it; reopening requires a reason and is logged.

Tips

  • Start with a studio-wide default rule, then override only instructors or class types that need different rates.
  • Grant Manage salary rules only to people who set rates or close months; View salaries is enough for reporting.
  • Close each month only after attendance and corrections are final — the lock protects your export for bookkeeping.
